A custom CRM instead of a subscription

A Bydgoszcz estate agency moved off a subscription based Go High Level to a custom CRM panel that brings leads, properties, SMS campaigns and enquiries from four marketing websites into one place.

The challenge

Best Investments ran its sales process on Go High Level. The subscription had to be paid every month, and the picture of each client still stayed scattered: leads in one tool, the SMS number base in another, enquiries from four marketing websites landing in inboxes and spreadsheets. Nobody had a single place showing which stage a given buyer was at and which site they came from.

What we did
  • We built a custom CRM panel that replaced Go High Level and runs on the same infrastructure as the agency websites
  • We migrated the whole database without losing history: properties, leads and conversation stages
  • We based the pipeline on the property rather than an abstract process, because that is how an estate agency actually works
  • We connected the forms from every marketing website straight into the CRM, tagging the source of each enquiry automatically
  • We added an SMS module with its own number base, synchronised in the background every minute
  • We based access on roles defined from the panel, so the agency decides who sees which modules
  • E-book sales settle themselves: the payment lands in the panel and a monthly summary arrives by e-mail
